Sole Bay Bowls Club (“the Club”) is committed to protecting the privacy of your personal information under the General Data Protection Regulations (2018). This Privacy Policy applies to personal information collected by the Club and sets out the principles governing our processing of that information and the way we use, keep and disclose it.

By providing personal information about yourself to the Club you agree to the processing, storing and use of that information as described in this Privacy Policy (as amended from time to time).

The personal information we collect from you is used primarily to enable us to manage your membership of the Club and can include the following:

            to maintain our membership database for the administration and

             management of the Club,

            to respond to and/or deal with any request or enquiry from you and to contact you by e-mail or phone for this reason,

            to contact you with information relating to your membership or application for membership,

            to contact you with details of events and other matters which we think will be of interest to you,

            to communicate information to affiliated bowls clubs about leagues and  fixtures,

            to communicate membership information to Suffolk Bowls Association, Bowls England and other bowls related governing bodies,

            to communicate information for producing and printing of Club handbooks,

            to communicate information required by the rules of the Community Amateur Sports Club scheme, and

            access by the members of the Management Committee and the Indoor and Outdoor Committees and other members of the Club

We will not reveal any of your personal information to any other external organisation unless we have previously informed you that this will happen through disclosures or agreement or we have obtained your authority to do so.

We will store your personal information in electronic form and paper based form from the point of collection for as long as you are a member of the Club. After you cease to be a member your personal information will be retained for a period of three months before being deleted/destroyed. Provided that we may keep your personal information for longer if, for example, your membership expires at the end of an indoor or outdoor season and we think you may wish to rejoin for the next indoor or outdoor season.

We will hold information collected from you on computer and in other forms. We will take reasonable steps to protect the privacy and security of our database and to maintain the accuracy of your personal information although we cannot guarantee the security of all transmissions of personal information, particularly where the internet is involved. You accept the inherent security implications of this form of storage and communication.

You have a right of access under the General Data Protection regulations to any information we hold about you on our records and to have inaccurate information about you corrected.  You also have the right to :        

            request restriction of processing concerning you or to object to processing of your personal  information, data portability,            

            request the erasure of your personal information where it is no longer necessary for us to retain it,   

            object to automated decision making including profiling (if any) that has a legal or significant  effect on you as an individual.

We may take photographs of you attending matches or other events and we may wish to use them for promotional and advertising purposes. Unless you advise us otherwise, you agree to the use of any photographs which may include you without compensation. We will not use the images taken for any other purpose.

We will not include details or full names in any publication without good reason. For example, we may include information about a competition prize winner if we have their consent.
We may disclose specific information upon lawful request by HMRC, government authorities, law enforcement and regulatory authorities where required or permitted by law and for tax or other purposes. Personal information may also be released to the emergency services responding to a call and to external parties in response to legal process, and when required to comply with laws, or to protect the rights, property or safety of the Club and its members and employees.

We will not sell your personal information to any third party

Without prejudice to any other administrative or judicial remedy you might have, you have the right to lodge a complaint with the Information Commissioner if you consider that we have infringed applicable data privacy laws when processing your personal data. We will keep your details on record until we have completely dealt with your request, enquiry or application and then for a reasonable period afterwards, in accordance with data protection and other applicable legislation.
